Facilities Manager

To achieve its mission, New Destiny builds and manages housing with on-site services; offers innovative programs that assist survivors in finding and retaining affordable housing; and works to expand access to permanent housing resources for survivors. New Destiny is the largest provider of supportive housing for domestic violence survivors in New York and is a leading advocate in the effort to obtain the resources needed to end family homelessness in New York City

Job Purpose

Under the supervision of the Director of Property Management, the Facilities Manager will lead and manage New Destiny Housing properties throughout New York City which includes over 300 apartments across nine (9) buildings, the majority in the Bronx, but throughout the City. The Facilities Manager is responsible for ensuring the daily operational efficiency and maintenance of all buildings and their systems (electrical, HVAC, plumbing, and fire). The Facilities Manager is responsible for supervising all Building Superintendents and working alongside staff to complete projects, including handling some of the physical aspects of the work as required.

Duties and Responsibilities

New Destiny is staffed by an extraordinary group of hard-working professionals who are fully committed to our mission to end the cycle of homelessness and abuse. We believe all staff working with our tenants and clients, starting with our social services team but including building staff and management, should receive trauma-informed training and be committed to helping our survivors find stability. New Destiny is building its own property management department and is seeking a Facilities Manager who can bring significant experience to help outline this new position and succeed with managing our buildings. The responsibilities include:

Building Oversight:

  • Manage the facilities work order portal to ensure service requests are assigned and handled in appropriate timeframes based on priority.
  • Oversee purchasing for all sites and managing of supplies budgets for each location.
  • Oversee the monthly inventory of supplies at each site.
  • Manage all third-party contracted services and all proposal requests for large-scale projects and repairs.
  • Ensure compliance with all building, health, fire, and safety codes. Prevent violations whenever possible and be responsible for addressing violations fully and immediately when/if they do occur. This includes attending hearings to rectify violations such as with ECB, DOB, FDNY, DOS, and HPD.
  • Schedule and conduct apartment inspections bi-annually.
  • Ensure all needed repairs are scheduled and completed by the Building Superintendent and maintenance staff.
  • Collect monies from tenants for key and fob replacements, ensuring accurate record keeping of received monies.
  • Collaborate with on-site social service staff to ensure the maintenance needs of the tenants are met in a timely and communicated manner.
  • Work closely to ensure that building issues that affect tenants and office spaces are addressed and communicated in a timely fashion.
  • On-call 24/7 building emergency availability is a must

Staff Oversight:

  • Manage the allocation and determination of the discretion for overtime assignments.
  • Review timesheets and attention to detail for accuracy, while managing PTO time for staff schedules for coverage.
  • Responsible for developing performance plans, staff evaluations, disciplinary discussions, and follow-ups with staff when necessary.
  • Provide guidance and instruction to staff on handling tenant interactions with a trauma-informed lens. Knowledge of trauma-informed practices and working with domestic violence survivors.
  • Provide and/or arrange for staff training on building operations, government regulations, safety procedures, etc.
  • Monitor data and reports from New Destiny Housing, funders, and other government agencies.
  • Prepare responses as appropriate.
    Qualifications
    • A minimum of 5-8 years of building maintenance, repair, and property management experience.
    • A minimum of 2 years working in supportive housing.
    • High School degree or equivalent required.
    • Experience using app-based and web-based property management and maintenance systems.
    • Excellent organizational, communication, writing, and computer skills.
    • Ability to walk buildings and lift up to 50 lbs.
    • Thorough knowledge of building and maintenance equipment, tools, materials, and practices of the building and mechanical trades.
    • Position is mostly in person with some flexibility. Travel throughout the five boroughs is required.
    Compensation/Benefits

    Salary $80-$90k. This is a full-time position with a benefits package including medical, dental, vision, short disability, PTO paid holidays, and 401(k). EOE
